SECRETARY

Summary:

This position provides administrative and secretarial support for the entire company. In addition to direct customer service, answering phones, typing, and filing, performs duties such as record keeping, coordinating direct and virtual mailings, and working on special projects. Also, answers nonroutine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize varied workload, recommends changes in office practices or procedures.

Essential Functions:

  1. Performs desktop publishing. Creates and develops visual presentations for mailings and social media.
  2. Establishes, develops, maintains and updates filing system. Retrieves information from files when needed. 
  3. Organizes and prioritizes large volumes of information and calls.
  4. Sorts and distributes mail. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
  5. Answers phones. Takes messages or fields/answers all routine and nonroutine questions.
  6. Acts as a liaison with other departments, including high-level staff. Handles confidential and nonroutine information and explains policies when necessary.
  7. Works in partnership with retail department and staff to ensure proper billing and customer care.
  8. Daily use of point-of-sale system.
  9. Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
  10. Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  11. Maintains inventory system including data entry of purchase orders and receiving inventory, and accounting for and updating inventory system.  Responsible for inventory system entry accuracy.
  12. Accountable for various daily inventory system processes.

Qualifications:

  1. Previous experience in office administration
  2. Experience with Microsoft Office software including Word, Excel, Access, Publisher, and Outlook
  3. Ability to prioritize and multitask
  4. Excellent written and verbal communication skills
  5. Excellent attention to detail with efficiency and accuracy
  6. Strong organizational skills
  7. Some knowledge of plants and horticulture
  8. Willingness to learn about horticulture in detail
  9. Integrity a must

Work Environment:

This job operates in a casual office environment. This role routinely uses computer equipment and phone.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to talk and hear. The employee will use hands and fingers to handle or feel; and may need to reach with hands and arms.  The employee will need to be able to take the mail to the mailbox.  The employee will need to be able to regularly lift up to 25 pounds.
 
Position Type/Expected Hours of Work:

This position will have varied hours based on seasonal demand. Days worked are Monday through Friday.  Late summer through fall hours are typically 8-4 pm.  Winter hours are typically 9-1 pm, while early spring through mid-summer hours are typically 8-5:30. Occasional evening, weekend, and extended work days may be required as job duties demand.

Garden Center Sales Associate

JOB DESCRIPTION:
Part-time Garden Center Sales Associate for seasonal (March-November) employment.  Duties include processing sales and returns on point-of-sale software; basic care and maintenance of trees, shrubs, and plants; and greeting/assisting customers in a professional and friendly manner, both in person and on the telephone.  This position entails outdoor work that requires some lifting and the ability to be on your feet for long periods of time.  The ideal candidate must be able to learn quickly in a fast-paced environment, be willing to expand their knowledge of plants and their applications, have good math skills, and have a positive attitude.

Key Responsibilities include:

  • Assist customers with landscaping ideas and plant selection.
  • Advise customers about plant care, watering and fertilizing best practices.
  • Advise customer about insecticide products and their use.
  • General care of plant material (i.e. watering, pruning, labeling) and garden center upkeep and maintenance.
  • Display trees, shrubs and accessories in retail garden center.
  • Assist with handling telephone calls.
  • Use computer to enter and complete sales at checkout.
  • Occasionally unload inbound plant deliveries and assist customers with plant and merchandise loading.


HOURS / DAYS / SCHEDULE:
Position is seasonal from March through November. Hours vary. Hours will be based on weather conditions and business needs. Must be able to work weekends and holidays.

JOB REQUIREMENTS:

  • HS Diploma or GED.
  • Valid driver's license and reliable transportation.
  • Ability to work outdoors in various weather conditions.
  • Basic knowledge of plants and the willingness to learn about plants and landscape.
  • Knowledge of local climate and growing conditions a plus.
  • Being attuned to popular plant and landscaping trends a plus.
  • Must be able to lift at least 30 lbs throughout the day.

Loader/Delivery Driver

JOB DESCRIPTION:
Key Responsibilities include:

  • Talk to customers in a courteous and professional manner.
  • General care and maintenance of plant materials including watering, pruning, transporting, fertilizing, trimming and weeding of container and field grown plants.
  • Unload inbound plant deliveries and assist customers with plant and merchandise load-outs.
  • Load customers' vehicles to ensure plants and materials are transported in a safe manner.
  • Bag mulch and maintain adequate levels of bagged mulch for retail sales.
  • Pot and re-pot plant material as directed.
  • Assist with deliveries and other tasks as needed.

JOB REQUIREMENTS:

  • Valid driver's license (CDL preferable but not mandatory) and clean driving record for possible delivery duties.
  • Must have reliable transportation.
  • Must be able to lift at least 75 lbs throughout the day.


HOURS / DAYS / SCHEDULE:
Position is seasonal from March through November.  Hours will be based on weather conditions and business needs. Must be able to work weekends and holidays.  Hours vary, but typical hours would be as follows:

Mon, Tues and Fri  9 am to 5:30 pm

Landscape Crew Member (Laborer)

JOB DESCRIPTION:
If you like to work outdoors, getting plenty of sunshine and fresh air, if you enjoy working on projects, if you like the satisfaction of seeing a job through from start to finish, if you take pride in what you do and how you act, we have a job for you.  Our landscape crews consist of 2 or 3 workers who install the designs we prepare, sometimes from blueprints, sometimes from paint marking on the ground.

Four Seasons is a “design/build” landscape company, and we continually seek qualified, energetic individuals as Landscape Crew Members and Laborers..  We perform very little landscape maintenance work, such as mowing.  We do focus our talents on landscape renovation and installations including plantings, as well as the construction of patios, walls, and driveways to enhance our clients’ outdoor living spaces.

This is primarily physical work and requires you to be outdoors on residential and commercial jobsites. If you are not able to work outdoors during the heat of summer, this is probably not a good job for you.

Key Responsibilities include:

  • Follow instructions of landscape crew foreman / crew leader on jobsites
  • Interact with all other employees and clientele on a friendly, professional level
  • Maintain positive attitude and professional manner at all times
  • May participate in maintenance of vehicles, equipment and assigned hand tools
  • May become skilled and proficient in operation of landscape equipment, etc.
  • Will, at times, be involved in related activities including loading /unloading of plants and materials, equipment and supplies related to landscape and nursery operations

HOURS / DAYS / SCHEDULE:

Position is seasonal from March thru November.  Generally will work 8 – 9 hours/day, weather permitting, Monday thru Friday, and occasionally on Saturdays, based on weather conditions and business needs.  Will likely work 40 – 45 hours each week, weather permitting.


JOB REQUIREMENTS:

  • HS Diploma or GED
  • Valid driver's license (CDL preferable, but not mandatory)
  • Knowledge of landscape installation and construction procedures and equipment
  • Must be able to work outdoors throughout season
  • Must be able to lift at least 80 lbs throughout the day
  • Must have reliable transportation to and from Four Seasons
  • Must have good work ethic and be able to follow instructions of supervisors
  • Knowledge of and experience with plant materials or landscape activities helpful

Landscape Foreman (Crew Leader)

  • Direct activities of landscape crew personnel on jobsites
  • Interact with clientele on a professional level

Container Growing and Production Associate

JOB DESCRIPTION:

Part-time Container Growing and Production Associate for seasonal (March-November) employment. Duties include potting perennials and shrubs as well as basic care and maintenance of trees, shrubs, and perennials. This position involves primarily outdoor work that requires lifting and the ability to be on your feet for long periods of time. The ideal candidate must be able to pay careful attention to detail while working efficiently in a fast-paced environment. Must be willing to follow instructions and maintain a positive attitude.

Key Responsibilities include:

  • Potting plants as instructed.
  • Using flatbed vans to transport plants from potting area to container growing area.
  • Observing plants and watering / irrigating as needed.
  • General care of plant material such as cutting back, pruning, weeding, and fertilizing.
  • Assist with unloading inbound plant deliveries, counting and tagging inventory.
  • Monitor plant inventory for insect and/or disease pests.
  • May assist retail personnel by loading plants, etc. into customer's vehicles.
  • May occasionally assist with deliveries.

HOURS / DAYS / SCHEDULE:

Position is seasonal from March through November. Hours worked per week will usually total between 35 to 45 and will be based on weather conditions and business needs. May be required to work on Saturdays and/or Sundays as needed, especially in April and May.

JOB REQUIREMENTS:

  • HS Diploma or GED.
  • Valid driver's license and reliable transportation.
  • Ability to work outdoors in various weather conditions.
  • Basic knowledge of plants and the willingness to learn.
  • Must be able to lift at least 40 lbs. throughout the day.
